How to Plan an Indian Wedding in 3 Months

Weeks 1–2: what must be booked immediately?

Four vendors can serve only one wedding per date: the venue, the caterer, the photographer and the makeup artist. In a 3-month plan they get booked in the first 10 days, from whatever is available. Everything else can wait.

• Day 2–3: send the WhatsApp save-the-date. Before the venue, before anything. Outstation guests need maximum notice to book travel; a simple text message with the date and city is enough for now.
• Day 3–7: book the venue. See what is genuinely available on your date, shortlist two, decide in one family sitting. In a 3-month plan, a good available venue beats a perfect unavailable one.
• Day 5–10: book caterer, photographer, makeup artist. Ask each for full-event work samples and client references from the past year, and pay advances only against written scope.
• Day 7–10: decide the functions. Short-notice weddings work best with consolidated events: haldi and mehendi on one day, sangeet the next evening, wedding and reception combined where the community allows.

Weeks 3–4: guests, hotels and outfits

• Build the complete guest list with per-function tagging in one shared system, not in six family notebooks. Every later decision (plates, rooms, cars, cards) reads from this list.
• Block hotel rooms now. Short notice means less negotiating power, so trade volume for rate: one property, one block, with a 10 percent flexible buffer.
• Buy outfits ready-to-wear. Designer ready-mades with 2 to 3 weeks of alterations look every bit as grand. If a custom bridal outfit is non-negotiable, order it this week with a written delivery date 2 weeks before the wedding.
• Book the pandit ji and take his samagri list for every ceremony immediately.
• Book decor, DJ and mehendi artist. Choose from each vendor's existing packages rather than custom concepts; customisation is what consumes the weeks you do not have.

Weeks 5–7: invitations, menus and the vendor grid

• Send the designed e-invitation to the full list, function-wise. Print a small batch of physical cards for elders only; digital-first is the single biggest time saver in a short-notice wedding, and it makes RSVP collection dramatically easier.
• Finalise menus per function in one tasting session, choosing from the caterer's proven menus.
• Arrange transport: book the car fleet for airport pickups and inter-venue movement based on the outstation guest count.
• Order return gifts and favours from ready stock, and the sweets boxes for card distribution.
• Make the master vendor grid: every vendor, contact person, amount paid, amount due, and reporting time, in one place the whole family can see.

Weeks 8–10: RSVPs, travel details and fittings

• Chase RSVPs function-wise. Two structured reminder rounds this fortnight; you need real per-function headcounts for the caterer's cut-off.
• Collect travel details from every confirmed outstation guest: flight or train, date, time. Map each arrival to a car and each family to a room.
• Final fittings for the couple and immediate family.
• Trial the makeup artist and finalise looks per function.
• Apply for permissions your city requires: music licence, baraat route, fireworks.

Weeks 11–12: confirmations only

• Give final counts to caterer, venue and hotel, and the final room-allocation and car-assignment lists.
• Reconfirm every vendor in writing: reporting time, venue contact, pending payment.
• Assign owners: one named person each for hospitality, food, stage, gifts and vendor coordination. The couple and parents should own nothing on the wedding day.
• Prepare the hour-by-hour run sheet per function and share it with every owner.
• Pack the emergency kit: safety pins, medicines, chargers, needle and thread, stain wipes, cash and shagun envelopes.

What should you simplify, and what should you never compromise?

Short-notice weddings succeed by simplifying the right things.

• Simplify freely: number of functions, custom decor themes, printed stationery, elaborate favours, and choreography-heavy sangeets. Guests remember warmth and food, not the thematic consistency of the centrepieces.
• Never compromise: photography and film, food quality at the main function, and guest logistics. A guest stranded at the airport is the story that gets retold for years.
• Decide once. The luxury a 3-month wedding cannot afford is revisiting decisions. Shortlist two options, pick one in a single sitting, move on.
